01 / Evaluation

Define why and when a person is needed

Human handoff is part of a conversational workflow, not a final apology when the agent becomes stuck. Start with the decisions a person must make: an exception to a process, a commercial commitment, a sensitive enquiry or a request outside the agent's approved scope.

Include the customer's explicit request for a person. An agent should not keep asking routine questions when the agreed workflow calls for escalation. Review the trigger and the receiving team together so the handoff leads to a meaningful next step.

Voxae supports configured human handoff and conversation review. The channel, team responsibility and deployment scope need to be agreed during evaluation. This company website's public FAQ assistant answers public questions; it cannot transfer an active Voxae product conversation.

Review checklist

  • Customer explicitly requests a person.
  • The request falls outside the approved knowledge or actions.
  • A required integration is unavailable or rejects an action.
  • The process needs an authorised judgement or commitment.

02 / Evaluation

Transfer enough context to avoid starting over

The receiving person needs the customer's request, the relevant details already collected and the unresolved question. A clear summary is more useful than an unexplained transcript alone. Preserve corrections and distinguish confirmed details from information that still needs clarification.

Collect only what the workflow needs and agree who may access it. For health-insurance intake, household and coverage context can support an adviser-led conversation, but sensitive-data permissions and adviser responsibilities must be scoped for that deployment. A general customer-support workflow has different needs.

Review checklist

  • The original request and intended outcome.
  • Relevant confirmed details and the latest correction.
  • Actions attempted and their actual acceptance or failure.
  • The unresolved question and next responsible team.

03 / Evaluation

Make handoff states understandable

Offering a handoff, routing a request and a person accepting the conversation are separate moments. Define what the customer is told at each one. Avoid saying that a colleague is already helping when the workflow has only prepared a request.

Review the same distinction in team operations. A receiving person should understand what they own and which action remains open. If a team member returns a conversation to an agent, confirm how the authorised process resumes and what context remains relevant.

04 / Evaluation

Plan for an unavailable team

Agree what happens outside operating hours, when no appropriate person is available or when a handoff mechanism fails. A useful fallback might be collecting an enquiry for follow-up through an agreed process. Its wording should explain what actually happened without inventing an appointment or response time.

Urgent and sensitive requests need an explicitly scoped response. Do not treat a general voice agent as an emergency service, a medical diagnosis service or an authorised adviser. Identify the requests the workflow should refuse or direct to an appropriate existing channel.

Review checklist

  • Unavailable, closed or unassigned receiving team.
  • Customer declines to share further details.
  • The request is urgent or outside the agreed service scope.
  • A failed transfer needs a truthful follow-up message.

05 / Evaluation

Test handoff as an end-to-end outcome

Test both ordinary escalation and the exception paths with representative conversations. Verify what the customer hears, what the receiving team sees and whether the next action is owned. An animation or demonstration transcript can explain the intended process, but cannot prove a production transfer worked.

Bring your triggers, receiving-team process and required context to an Ash Systems evaluation. Review them with the channels and tools intended for use, then agree release ownership before the workflow reaches customers.
